User Guide

You would first log in to the system through the following detail

  • Username
  • Password

The ‘forgot password’ option will allow one to reset your password using the registered email address (username) and a new password will be mailed to you.

You will arrive at your Dashboard which will have the options interface. Each block helps you to create and plan future strategies for your Institution.


Stage-wise statistics

This block gives you an overview of the students on each stage, academic year wise. The Stage on the dashboard is reflected as per the Stages added under ‘Manage Application Stages’ module.
You can also check the students on each stage by clicking on the “View Details” link.

Status wise statistics

This block gives you an overview of the students on each status academic year wise. The status on the dashboard is reflected as per the status added under Application Status module.

You can also check the students on each stage by clicking on the “View Details” link.

Consolidated admission chart

The chart shows you the comparison of the admissions done in 4 consecutive years. This will help you to analyse the registrations per year and create strategies accordingly.

Consolidated targeted students

The chart shows you the comparison of targeted students in 4 consecutive years. It will help you create a strategy for targeting more students in the upcoming year.

Marketing source

The bar graph shows you the report of the marketing sources used by your Institution. You can view the best source for more admissions with regard to academic years.

Application stages

This block shows the pie chart representation of the stage-wise student bifurcation.

Monthly revenue

The monthly revenue earned by your Institutions will be displayed in this block. It represents the revenue of the current year.

Monthly installment due

The outstanding fees for each month are shown in a linear graph.

Appointment list

Displays the appointments due with the applicants under this block with respect to reason, date & time. The administrative staff also has the privilege to confirm, cancel and reschedule the appointment from this block.

Enquiry report

This report shows all the comments from the Tele-caller team with regard to their calls to the students. The Institution can be in the loop of the Tele-calling activity through this report block.

Privilege Profile

  • The privilege profile allows to add and update modules / menus for the roles or authority of the system.
    For Example: The Faculty can be given privilege to only modules such as Attendance, Online Quiz and Assignment.
  • This option helps you maintain your data security & privacy with respect to each authority in the system.

User Master

  • This module allows to add user logins in the system such as Subagent or Student.
  • The search options will enable you to search user with regards to various Roles.
  • Details such as Serial Number, Username, Role, Display Name, Application Form, and Status will be displayed as well.
  • Details can be added through ‘Edit’ option.

Commissions

  • This module allows the user to add fees received by the Institution, installment wise.
  • You can also add the commission paid to agents / subagents and referrals section.
  • The search options enable you to filter applicants with regards to Course, Surname, Forename, Application Number, Intake, Subagent, and many more options.
  • The details can be exported in Excel, CSV and PDF format. You can also print the report.

Awarding Bodies

  • This module will enable you to add Awarding Bodies.
  • The Search option allows you to search Awarding Body with corresponding Active status.
  • The tabular representation displays details like Serial Number, Awarding body Name, Active Status & Actions.
  • The user can edit details as well as delete the awarding body under the Action column if the awarding body is not linked to any candidate profile.

Department

  • Enables you to add Departments. For example Undergraduate, IT department etc.
  • The search options will enable you to search Departments with regards to Department Name and Active status.
  • The tabular representation will display details, like Department Name, Department Short Code, Active Status and Action.
  • The User can edit details as well as delete the Department from the Action column, if it is not linked to any candidate profile.

Term

  • This module enables you to add Terms i.e. Period of Course. For example Annual, Semester, etc.
  • The search options will enable you to search Term with regards to Term Type and Active status.
  • The tabular representation will display details like Term Type, Equivalent, Active status and Action.
  • The user can edit details as well as delete the Term from the Action column, if it is not linked to any candidate profile.

Intakes

  • This Module enables you to add Intakes i.e. the month and the year of a new course or a new term. For example January 2016.
  • The search options will enable you to search Intake with regards to Intake Title, Active status and Year.
  • The tabular representation will display details like Intake Title, Year, Active status, Default (allows you to set an intake as default for the application form) and Action.
  • The user can edit details as well as delete the Term from the Action column if it is not linked to any candidate profile.

Courses

  • This module enables you to add Course Offered by the Institution.
  • The search options enable you to search Course through its Title, Department, Course Level and Active status.
  • Tabular representation displays details like Title, Code, Duration, Department, Level, Term, Awarding Body, Fees Local, Fees Overseas, Active status, and Action.
  • The user can edit details as well as delete Course from the Action column if it is not linked to any candidate profile.

Subjects

  • This module enables you to add subject linked with the course offered by the Institution.
  • You can also define the subject type and category with number of classes for the subject.
  • The tabular representation will display details like Subject Title, Course Title, Short Code, Term, Type, Category, Status and Action.
  • The user can edit details as well as delete the Subject from the Action column, if it is not linked to any candidate profile.

Fees Head

  • This module enables you to add Fees Head (fee title) and also allows to link a particular fees head with a course.
  • The search option enables you to search Fees Head through its Title.
  • The tabular representation displays details like Fees Head Title, Link with Course and Actions.
  • User can edit details as well as delete the Fees Head from the Action column, if it is not linked to any candidate profile.

Manage Applications

  • This module displays the list of applicants in the system from all the sources integrated with system. For example: If AMS has been integrated with your website application form, the application can be viewed under this section.
  • The User can search any applicant in the system by using the various filter fields such as Course, Course level, First Name, Last Name, Application Number, Intake, Application status, Department, Subagent and many more fields.
  • The tabular representation displays details like Student Name, Application Number, Application Date, Intake, Source, Sub Agent, Stage, Added By, Approved, Read, Status, Meeting and Actions.
  • The Action column provides various provisions from editing the application / deleting it to managing the application stage. It also allows you to Print the application individually.

The list of applicants can be exported to Excel, CSV or PDF format. The print provision for the complete list is also been provided in the module.
